Solving Sales Tax Problems for QuickBooks Clients

For several years, I’ve been writing about the difficulties of getting sales tax right in QuickBooks. It seems that virtually every client we look at has some type of problem with their sales tax data, caused by a combination of improper setup or inconsistent data entry. On the surface, it seems pretty easy to set up QuickBooks sales tax codes, items, and “rules” for how to treat sales transactions, but when clients have any significant transaction volume, it seems that we always find some type of problem when preparing sales tax returns.

Chuck Vigeant's Reporting and Technology Corner

What is the IPP and how does it compare to the SDK?   And what is cloud computing anyway?

In response to several member requests, we are going to take a slight detour from the reporting arena, and educate our group about the new IPP (Intuit Partner Platform) offering from Intuit – and how it resembles/differs from the SDK (Software Development Kit) that so many developers have used to write third-party add-ons for QuickBooks products. This is the first part of a two part article.

This month we will look at the overall success of the SDK and its inner workings, and then provide a primer on cloud computing. Click the link below to read the full article.

 New Program - Inventory Turnover

Do your clients have excess inventory? Excess inventory a big drain on a company’s bottom line. The excess cost not only includes the cost of the inventory itself but the extra storage, tax, insurance and interest cost than can add an additional 20 to 30 percent to the cost of the inventory itself. Reducing excess inventory can free up capital and storage and improve the bottom line.

Accountants typically check for excess inventory by calculating an overall inventory turnover rate. The rate is calculated by dividing total cost of goods sold by total inventory. In today’s complex and automated businesses, this type of calculation is too broad and high turnover items can easily mask slow turnover items. In addition, most small businesses have enough data to calculate turnover on an item by item basis.

In QuickBooks, you can calculate inventory turnover by item using the Sales by Item Summary and the Inventory Valuation Summary reports. Making the calculation using just QuickBooks requires that both of these reports be exported to Excel and that the data in the reports be linked together so that the calculation can be made. However this process has just been a made much easier by Karl Irvin who has released a new Inventory Turnover program. This new program quickly exports the sales and inventory data from QuickBooks and calculates the turnover by item. In addition the program can calculate excess inventory based on a user entered targeted turnover rate. The program also can produce quantity sold reports showing the quantity sold by month over a 12 month period. These reports are available at the item level, the item by customer level and the customer by item level.

For more information on this new program, see http://www.q2q.us/ITOOverview.htm. A free trial copy of the program is available from http://www.q2q.us/ITODownload.htm and the purchase price is $49. The program works with QuickBooks 2005 through 2010.

 Tricks of the Trade

Every day, members of The Sleeter Group Consultants Network tackle the day-to-day problems of their clients in the real world. The following is an example problem and solution that surfaced this month on our Sleeter Group Consultants Network E-Mail Group.

Question: I have bills from a vendor and credits for returns to the vendor. When the credits equal or exceed the amount of the bill, there is no “document” (like a bill payment voucher) that gets printed automatically by QuickBooks. I need some way of notifying vendors when credits like this are applied. Do you have any suggestions for what to do?

Answer from Doug Sleeter: You’ve identified a good issue…To read the rest of this answer, click here.
