 New Features of QuickBooks 2008

 QuickBooks for Restaurants  

Restaurants can use QuickBooks very effectively for their back office work and for purchasing, bill paying, and payroll. We have reposted one of our classic articles that presents efficient ways of handling the needs of a typical restaurant.

This article covers setting up the Chart of Accounts and Item list, Payroll, Daily Sales, Handling Tips, and Reports. It includes useful tips such as using Customer Custom Fields to track different servers’ daily count of guests, daily count of to go orders, and average ticket for the day.

Written in 2003, you may notice some older screenshots, but the methods are still relevant in the newer versions of QuickBooks.

 Tricks of the Trade  

Every day, members of The Sleeter Group’s Consultants Network tackle the day-to-day problems of their clients in the real world. The following is an example problem and solution that surfaced this month on our Sleeter Group’s Consultants Network E-Mail Group.

Question: Is it OK to delete uncollectible invoices for a company whose taxes are prepared on a cash basis as long as there is a backup file for historical reference? I am creating a new data file since the client only wants to carry about 2 out of 9 years of data. I’m looking at the Deletion Tool or the Transfer tool.

Wayne Higdon replies: I don’t see why you couldn’t delete them but it would leave a better record trail if you ‘void’ them instead of deleting, or you could create and apply credit memos to leave a complete record.

Nancy Gomez adds: I suggest entering credit memos. This keeps your invoice audit trail intact and is cleaner in the long run as well as more correct accounting-wise.

Jeanne Tarazevits suggest: The Beginning Balance Transfer tool by Karl Irwin would be perfect for your project. It brings over the Beginning Balances as well as each open invoice. Really cool.

Joe Woodard says: One major drawback of the deletion tool is the Audit Trail. Each and every deletion will track in the Audit Trail, causing your file size to remain very high. The transfer tool provides a smaller file size, but there is much massaging of the data required after the import, especially if there is inventory involved.

Result: Thanks to everyone for all of the help! Sounds like I need to use the transfer tool since the client has only been using QuickBooks to track Accounts Receivable. I’m looking forward to meeting all of you in Vegas!
