“As of Report Date” on A/P and A/R Reports

Summary

What report can I print out from Quickbooks that will tell me which specific transactions comprise the accounts payable balance at the end of last year?

Question

What report can I print out from Quickbooks that will tell me which specific transactions comprise the accounts payable balance at the end of last year?

Answer

Since you're asking for a report about A/P for a prior date, you need to change a setting on the Unpaid Bills report. By default, the A/P reports show only Open items as of today (that is, the day you run the report). So if you've since paid a bill that was open at the end of last year, you won't see that bill unless you modify your Unpaid Bills report.

Do the following: 1) Create an Unpaid Bills Detail report and set the date to your desired date. 2) Click Customize. 3) Click "As of Report Date" in the Open Balance/Aging field. 4) Click OK.

The report now shows all the open bills as of the date of the report.

The same procedure works on all A/R or A/P reports. The default on some of these reports is to show “the current paid status” of all A/R and A/P transactions (Invoices, Bills, Statement Charges, Payments, and Credit Memos.) Others, like the aging reports, default to ‘As of Report Date’. However, all the A/R and A/P reports be set to either in customize.
