Many accounting firms have begun to use paperless document management systems
to streamline their office, but now clients too can benefit from implementing
paperless systems that can revolutionize the way they think of filing systems.
If your clients are ready to tackle the paperless filing problem, check out
Cabinet NG's CNG-Books and CNG-Document Management offerings.
Cabinet NG's document management software streamlines and automates business
processes by creating secure electronic file cabinets that allow you to store
documents in a central repository where all users can quickly access the documents
when needed.
A separate application, CNG-Books is the company's integrated solution for
Intuit's QuickBooks.
CNG-Books streamlines QuickBooks data entry and document filing into one complete
electronic process. Vendor bills, customer payments and credit card statements
are brought into CNG-Books as scanned or faxed images. Then, as the user views
the image, CNG-Books provides a simple data entry screen that allows you to
enter information directly into QuickBooks. Only the transaction's unique data
must be manually entered - the rest is captured directly from the QuickBooks
file and presented in pull-down menus. As you save each transaction, the data
is entered in QuickBooks and the image is filed. If a folder does not exist,
CNG-Books automatically creates one using the customer/vendor/credit card information
obtained from QuickBooks.
CNG-Books allows you to tie transaction-specific documents to the associated
transaction, and it allows you to tie general documents to a vendor or customer.
If you use CNG-Books with the latest version of QuickBooks (2005 or higher),
you can locate and display any filed document associated with a specific Transaction,
Vendor or Customer directly from within QuickBooks. Note however that this feature
is not supported in the current Canadian version of QuickBooks.
CNG-Books (when configured as a standalone application) supports storing documents
in the Windows file system. For additional automation, security, and flexibility,
CNG-Books can file documents in the CNG-Document Management Solution. With CNG-Document
Management, companies can also manage large volumes of documents, optimize workflow,
enforce privacy, and improve efficiency throughout the organization, all without
a wall of filing cabinets that use precious floor space.
Cabinet NG's ability to manage virtually any type of document is impressive.
With CNG-Document Management, all your information is consolidated into one
easy-to-use organized system. Examples of the information managed include:
- Email
- Forms and other custom documents
- Existing documents via scanning
- Memos
- Faxes
- Audio files
- Data from other applications:
- Database reports
- Office Suite documents
- Financial software
Additional key highlights
Cabinet NG's built-in format independence allows you to use existing native
applications to create and edit documents. This helps preserve your investment
in other software applications. In addition, CNG-Document Management can let
other users view documents without installing the native application.
Not every business operates with an open-book policy, and some information
is highly sensitive. Built into CNG-Document Management is a robust security
shield and the ability to track user activity. This gives you the power to control
access to files and track where files have been and where they're going, which
can be a critical part of regulation compliance (HIPAA, SEC, etc.), as well
as providing management reporting such as an audit trail. In addition, you can
enforce detailed control over document access rights at the user, cabinet, folder,
and document level.
Cabinet NG has been in operation since 1992 and is focused in the small-medium
size market. With clients of varying sizes across the Manufacturing, Financial,
Medical, and others industries, Cabinet NG may be just what your clients need.
